A local clinic can get more bookings without hiring a receptionist by fixing the places bookings leak: calls nobody answers, clients who cannot book online, and no-shows. Count your missed calls first, let clients book and pay a deposit online, send reminders, and cover the phone when nobody can pick up. Most clinics can do all of this for a fraction of a receptionist’s pay.
Start by counting them. Your phone system or provider can usually show missed and abandoned calls; if not, keep a tally for one week. Then put a value on them: how many of those callers were new clients, and what a new client is worth to you over a year. Our free missed call calculator does the sums in two minutes. Across the businesses we answer calls for, over half of all calls arrive when the front desk is closed, so evenings and weekends are where to look first.
Every caller who could have booked themselves is a call your team did not need to take. A booking page on your website, your Google profile and your social accounts lets people book at 10pm without ringing. Ask for a deposit at the same time and people have a reason to turn up or give notice. TSF Booking, our own booking software, takes deposits straight into your own Stripe account from £79 a month, with no commission on bookings. Our guide to taking deposits for appointments covers how to set the amount.
A no-show costs you the same slot a missed call does. Automatic reminder emails, and a link that lets clients move or cancel inside your notice period, turn many no-shows into rebookings or into gaps you can fill. Our guide on reducing no-shows walks through the settings that matter.
Some people will always ring, especially for a first appointment or anything urgent. You have three options. A call-answering service puts a person on the line, usually billed by the call or the minute, and takes a message. A missed-call text sends your booking link to anyone you did not answer. An AI receptionist answers in your clinic’s name, answers the common questions and books the appointment into your diary, day and night. Ours costs from £500 to set up, including 2 weeks live on your real calls, then from £1,500 a year; see how our AI receptionist works.
A full-time receptionist on the National Living Wage of £12.71 an hour (GOV.UK, checked 16 October 2026) costs about £24,800 a year in pay for a 37.5-hour week, before employer National Insurance, pension and holiday cover. A good receptionist does far more than answer the phone, and many clinics need one. The point is to hire for the work only a person can do, and stop paying for bookings to leak in the meantime.
An online booking page with deposits, plus a text that sends your booking link to anyone whose call you missed. Both cost far less than a member of staff. Add an AI receptionist or answering service if many callers still want to speak to someone.
Many will, especially for routine and repeat appointments and outside opening hours. First-time and urgent callers still tend to ring, which is why the phone needs cover too.
No. It takes the calls nobody can get to: lunchtimes, busy lines, evenings and weekends. Your team keeps the calls they take now.
Start with the numbers. If you miss a lot of calls, cover the phone first. If you get plenty of calls but too many no-shows, start with deposits and reminders.
