Can an AI Answer Your Salon's Phone? What to Test First

By Mohamed Omar, founder · Published 2026-10-23

Yes. An AI receptionist can answer a salon’s phone, book clients in with the right therapist at a time that is genuinely free, move or cancel their bookings and put urgent calls through to you. It works when it books straight into your booking system and when you test it on the calls your salon really gets. Here is what we learned in its first week live at a UK beauty salon in October 2026.

What it handles from day one

  • Books callers in with the right therapist, at times that are free in the real diary, and takes the deposit your online booking takes
  • Answers questions about treatments and prices
  • Finds a caller’s upcoming appointments from their number, checks their first name, then moves or cancels within your notice rule
  • Takes messages, and puts calls through to your mobile when your rule says it should
  • Leaves a transcript and a recording of every call in your dashboard

Why it has to sit inside the booking system

An AI that only takes messages leaves the booking to you. One that books needs the same diary your team uses: clean-up times, rooms and desks, each therapist’s hours and your deposit rules. At the salon, the team can overlap appointments and book at any 5-minute time, while the AI receptionist and online booking keep the normal gaps. In TSF Booking every plan includes the API and MCP server an AI receptionist books through; the connection guide shows how.

Six things to test before it takes real calls

Each of these happened in the first week live, and each now has a fix. Test them on yours before you move your number across.

TestWhat went wrongWhat it does now
Say your trickiest treatment names“BIAB” was heard as “buy it now”, so a caller was asked the same question twiceKnows the usual mishearings, checks “Was that BIAB, the builder gel?”, then offers treatments by name
Ring from a number the salon does not haveIt told a caller she was booked in without checking; her booking was under her other mobileChecks the diary before saying anything, and says honestly when it cannot see a booking
Ask for a person with your phone switched offIt said it was putting a caller through when your phone was not ringingOnly says so while your phone is ringing, and takes a message if nobody answers
Ask for a person with something that can waitA sales call asking for the owner was put straight throughAsks whether it is urgent first, so sales calls become a message
Ask to book a 16-year-oldThe age rule was not decidedBooks 16 and 17-year-olds once they agree a parent or guardian will come to sign the consent form, and passes under-16s to you as a message
Ask where you areIt did not know the landmark clients useGives the shop parade and the nearest road

Decide your rules before launch

Most of the work is decisions only you can make: who gets put through and when, what counts as urgent, your age rules, which treatments need a patch test or consultation first, and how much deposit to take. The salon started with one rule: put callers through if they are running late or cancelling today, or say it is urgent, and take a message for everything else. The owner takes those calls for now, to see what clients ask before deciding who else should.

Keep your number

You do not need a new phone number. Your phone provider forwards calls to the AI receptionist, and your contract, wifi and call routing stay as they are. Ask the provider for a straight forward with no welcome message or opening-hours rule in front, or callers hear your old message first.

What it costs

Our AI receptionist costs £500 to set up, which includes 2 weeks live on your real calls and £100 of call time. Plans then run from £1,500 a year for 250 minutes a month, paid upfront, or £125 a month. With CRM and online booking included it is £300 a month. No VAT is charged. Details are on the AI voice agents page, and our UK price guide compares the market.

Frequently asked questions

Can an AI receptionist book appointments straight into my salon diary?

Yes, when it is connected to your booking system. It then offers only times that are free for the right therapist, keeps your clean-up times and takes your deposit.

What happens when a caller asks for a real person?

You choose the rule. A common start is to put calls through for clients running late or cancelling today, or who say it is urgent, and take a message for everything else.

Do I need a new phone number?

No. Your phone provider forwards calls from your salon number to the AI receptionist, and you keep your contract.

What should I test before going live?

Your trickiest treatment names, a caller ringing from an unknown number, a transfer with your phone off, a non-urgent request for a person, your age rules and directions to the salon.
