Salon Email Automation: Seven Emails That Bring Clients Back

By Mohamed Omar, founder · Published 2026-10-23

Salon email automation means your booking system sends the right email at the right moment without anyone at the desk remembering to: a welcome when someone joins your list, a thank you after a first visit, aftercare after a treatment, a nudge to rebook, a note when a regular goes quiet, a birthday message and a follow-up after a missed appointment. Because the booking system knows who visited, when and for what, these emails can go out on their own and stop the moment the client books.

Why the booking system should send them

A standalone email tool only knows what you upload to it. Your booking system already knows each client's last visit, the treatment they had, whether they have something booked and whether they missed an appointment. That is exactly what decides which email a client should get. When the two live in one place there is no list to export every week, no client who gets “we miss you” the day after a visit, and no rebooking email to someone already in the diary.

The seven emails, and when each one goes

These are the seven automations built into TSF Booking. Each is a starting point: you change the wording, the timing and who it goes to. Each can add up to two follow-ups, and the follow-ups stop as soon as the client books.

EmailWhen it goesWhat it does
WelcomeWhen someone joins your list: from your sign-up page, the box on your booking page, or added by the teamSays hello and points to your booking page
Thank you after a first visitThe day after someone's first completed visitThanks them and makes booking again one tap
AftercareA few hours after the treatments you chooseTells the client how to look after the results
Time to rebookA set number of weeks after a visit (six to start with), if nothing else is bookedOffers the same treatment again
We miss youWhen someone has not visited for a while (90 days to start with) and has nothing bookedInvites a lapsed client back
Happy birthdayIn the client's birthday month, if you know itA personal note from the salon
Missed appointmentThe day after a missed appointment, if nothing is booked sinceMakes it easy to rebook without a phone call

Consent: what UK law expects

Appointment reminders and confirmations are service messages. Rebooking, “we miss you” and birthday emails are marketing, and under the Privacy and Electronic Communications Regulations (PECR) marketing email to an individual needs either their consent or the “soft opt-in”. The soft opt-in covers an existing client when you collected their email yourself while selling them a service, you market only similar services, you offered a chance to refuse when you took the address, and every email lets them unsubscribe. Consent cannot come from a pre-ticked box. Every email must say who it is from and give a working way to opt out, and the salon stays responsible even when software sends the email (ICO, electronic mail marketing rules, checked 23 Oct 2026). TSF Booking is built around this: the “news and offers” box on your booking page starts unticked, the sign-up page uses double opt-in, every email carries a preferences link, and consent is checked again before each send. This is general information, not legal advice.

Moving your list from Mailchimp

Mailchimp's own pricing page lists its Free plan at up to 250 contacts and 500 sends a month, with its automation flows not included; Essentials starts at £9.78 a month with flows of up to four steps, and Standard at £15.05 a month (mailchimp.com pricing, checked 23 Oct 2026, for 500 contacts). If your list lives in Mailchimp, export your audience and upload the export ZIP to TSF Booking as it is. Sign-up dates come across and are kept as consent evidence, contacts who unsubscribed or were cleaned stay blocked, tags come with them, and the whole import can be undone. Once your clients are on one list with their visit history, you can cancel the separate Mailchimp subscription. Prefer to keep Mailchimp? Connect it by signing in, with no API key, and choose your audience.

Sending from your own mailbox

TSF Booking sends marketing email through your own Google Workspace, Gmail or other mailbox, so replies come straight back to you. Every mailbox provider limits how many emails you can send in a day. Rather than hit that limit and have mail bounce, TSF Booking spreads a large send over several days and tells you on screen how many days it will take before you press send. Automations respect quiet hours and a daily cap, and consent is checked again just before each email goes.

Knowing which emails earn their keep

Open and click counts only tell you that people read an email. What a salon needs to know is whether it filled the diary. TSF Booking credits a booking to an email when the client books within seven days of receiving it, counting each booking once and crediting it to the most recent email. The Email marketing report on the Reports page shows those bookings by email and by automation, so you can keep the emails that bring people in and rewrite the ones that do not. Each email also shows its opens and link clicks. Open tracking works through a tracking pixel, which falls under PECR's separate rules on storage and access technologies, so mention email tracking in your salon's privacy notice (ICO, what else to consider with marketing email, checked 23 Oct 2026).

What it costs

TSF Booking plans are £79 a month for Solo, £149 for Team and £299 for Multi-site, with no VAT charged and 7 days free. The plans differ only by limits. Email marketing is included free in every plan for a limited time. Prices are on the TSF Booking pricing page.

Frequently asked questions

What is salon email automation?

Emails your booking system sends on its own when something happens: a client joins your list, finishes a first visit, has a treatment that needs aftercare, is due to rebook, has not been in for a while, has a birthday or misses an appointment.

Do I need my clients' consent to send these emails?

Rebooking, birthday and “we miss you” emails are marketing, so UK rules need the client's consent or the soft opt-in for existing clients, plus an unsubscribe link in every email. Appointment reminders are service messages.

Can I bring my Mailchimp list across?

Yes. Export your audience from Mailchimp and upload the ZIP file to TSF Booking as it is. Sign-up dates are kept, unsubscribed and cleaned contacts stay blocked, tags come across, and the import can be undone.

Does email marketing cost extra in TSF Booking?

Email marketing is included free in every plan for a limited time. Plans start at £79 a month with no VAT charged.
